AI Receptionist Appointment Booking: What Actually Gets Booked?

The key question is not only whether a receptionist says “I can book that.” It is where the booking is written, what calendar is connected, and what happens when the request needs a person.

Use this checklist

Match the booking workflow to your operating model

1. Where should the appointment live?

Choose a native calendar workflow, a supported calendar connection, or a message/escalation path. “Integration” alone does not prove native booking.

2. What must happen on the call?

Separate scheduling from transfers, rescheduling, intake questions, and urgent escalation. A booking claim does not verify every conversation type.

3. What happens to business software data?

Confirm whether the path is native, a documented Zapier workflow, or UNKNOWN before treating it as a CRM or Jobber write-back.

Failure modes to test

A booking claim is not the same as a completed booking

Before routing live callers, test the handoff between the conversation, the calendar, and the business system. If a case fails, use the booking troubleshooting guide to separate permissions, conflicts, duplicate, and record-sync issues.

Request captured vs calendar written

Confirm whether the system created an event with the right service, time zone, duration, and customer details. A message or callback request is not proof of a calendar write.
